Position Overview

The Special Projects Manager will provide executive, administrative, and project management support while serving as a liaison between the Executive Office and internal/external stakeholders. This role requires a highly organized, adaptable, and responsive individual who thrives in a fast-paced environment, can manage multiple priorities, and works effectively with diverse personalities and cultural backgrounds.

Key Responsibilities

  • Executive & Board Support- Manage the Executive Office’s communications and coordination, including drafting reports, scheduling meetings, preparing agendas, and ensuring board compliance.

  • Stakeholder Engagement & Relationship Management- Build and maintain relationships with funders, community partners, and government agencies to support APAFSS’s mission and strategic growth.

  • Project & Grant Management- Assist the Executive Director with grant writing, development, and community engagement initiatives while tracking deadlines and deliverables for key projects.

  • Risk Management & Process Improvement- Support the Executive Director in risk management- related work and assist in identifying and implementing process improvements to enhance administrative and operational efficiency.

  • Event & Meeting Coordination- Organize coalition meetings, fundraising events, and community outreach activities to strengthen partnerships and expand APAFSS’s impact.

  • Data & Impact Reporting- Assist in gathering and analyzing data for program effectiveness, grant reports, and strategic planning efforts.

  • Crisis Management Support- Assist the Executive Director in responding to urgent organizational challenges, ensuring smooth operations during crises.

  • Adapt to additional duties as assigned, supporting agency-wide initiatives and operational needs.

Qualifications & Skills

A bachelor’s degree in social work, business administration, nonprofit management, public administration, or a related field is preferred.

  • Minimum 3 years of experience in project management, executive support, or administrative coordination, preferably in a nonprofit setting.

  • Strong organizational and problem-solving skills, with the ability to manage multiple projects in a fast-paced work environment.

  • Excellent written and verbal communication skills.

  • Proficiency in Microsoft Office, Google Suite, and project management tools (e.g., Asana).

  • Ability to work independently, take initiative, and respond quickly to changing priorities.

  • Ability to work effectively with people of different personalities and cultural backgrounds.

  • Passion for community service and mission-driven work.

  • Bilingual proficiency is preferred, especially in languages relevant to the communities APAFSS serves.

  • Must be able to lift and move objects up to 25 pounds occasionally as part of job duties.

  • Valid driver’s license preferred.
